Because we are a family association, genealogy is the glue that binds us. For the past couple of years, we have been working to get the genealogy computerized and up to date. Much of this work has been done by our cousins James Truscott and John Wiley. John will be available to discuss some of the challenges of this work. In particular, he will be discussing sources and documentation and will be looking for volunteers who would be willing to contact family members to help. He will also be discussing the use of email attachments and the impact of computers on the Modified Henry System, the numbering system we use to track descendants. In addition to the usual basic information (birth, marriage, death) we are when possible adding biographical information, photographs, obituaries, etc. to the database.

Please bring all your updates and any material you would like to see included. John encourages all our members, young or old, who have even a passing interest in their ancestors, to attend.

2:00pm - 4:00pm Presentation of the Graveyard Master Plan

At the 2008 Annual Meeting, the membership voted to authorize the creation of a Graveyard Planning Committee charged with developing a master site plan for the graveyard. The need to extend the fence, though not immediate, is anticipated. The remaining land is now mostly open field sloping downhill and at an angle to the currently fenced area.

The committee was formed and selected Van Yahres Associates of Charlottesville, landscape architects, to assist in developing the plan. At the 2009 Annual Meeting, the membership unanimously approved funding for developing the plan. Members of the committee traveled to Charlottesville in July and October to meet with the Van Yahres and have devoted many hours defining and refining the ideas that guided plan development. The committee and Van Yahres Associates will present the plan to the membership and will be available to answer questions. This should be of particular interest for those planning on attending the meeting on Sunday as there will be motions regarding the plan and its implementation at that time. Information presented at the Saturday meeting should allow the Sunday Annual Meeting to proceed without another full presentation of the plan. Following the Saturday presentation, members will be invited to go to the graveyard.

We expect the unfenced area to be marked so members can more easily envision elements of the plan. Committee members will be on hand to answer questions. Members of the Committee include: Kay Flynn, Jack Taylor, Rand Esser, Hugh Randolph, Rick Hinton, Patty Salazar, Tom Truscott, and Bill Randolph.

After checking in, members and guests can feel free to tour the Visitors Center, view the film and tour the gardens at Monticello.

6:30pm - 8:00pm  Open House and Reception

Monticello

Members and their guests gather at Monticello for a reception, for greeting family and old friends, and for the magnificent view from the mountaintop. Staff of the Thomas Jefferson Foundation will provide private tours of the House, including the Dome Room that is not available to the general public.

Monticello has extended hours this year so in order to coordinate exit of the last visitors for the day and the beginning of our private tours, each Association member and guest will receive a ticket indicating the time for their private tour. The house will open for us and private tours will begin at 7pm.

The cocktail reception will be held on the South Terrace with beer, wine, non-alcoholic beverages, and heavy hors d’oeuvres being served.

8:00pm - 10:00pm Post Reception Dinner

We have arranged a catered buffet dinner at the new Visitor Center on the Mountain. There is a beautiful courtyard area where tables will be set up and it should provide a wonderful setting for the evening meal. This year the dinner will be a classic Southern buffet with pulled pork and chicken, baked beans, corned bread pudding, salad and dessert. Beer, wine and non-alcoholic beverages will also be served.
